Executive Summary

An important part of any project is how you communicate with your end users. The Leto release contains several changes that support both email and Self Service end users who self-schedule, providing them with more choice over which deployment slots are available to them. You can use email templates with more configurable options to manage different languages and translations in messages that will be sent to end users. The status and reporting of emails is now included in Evergreen, and is available in a format that is significantly improved from Senior.


Evergreen Self-Service - Select Capacity Unit

You can now give an end user the option to change the Capacity Unit of their device within Self Service (DAS-28831). Previously, the project team determined the Capacity Unit for a device, typically based on a combination of location and department. The end user then only had access to Slots that had been assigned to that Capacity Unit. This improvement gives the user the flexibility to choose slots outside of their assigned Capacity Unit. This is particularly useful if their location is different to the location expected.

Task Emails

If you are using Date Tasks with associated Email Templates, you can now see the status of emails that have been (or are due to be) sent, in Evergreen details (DAS-28840). Emails associated to Tasks can be used to notify the end user of an upcoming upgrade, or to invite them to complete Self Service. It is now much easier to see whether the email has been sent successfully, or any reasons why it might not be sent, such as the end user having unsubscribed to emails.

Language Codes in Email Templates

Task names and values are placeholders that can be applied in multiple languages (DAS-28198). When designing an email template, a user can include these placeholders so that the appropriate translation of the placeholder text is used, relevant to the default language of each email recipient.

However, it is possible that the end users' default languages have not been recorded in Dashworks, and it is therefore not possible to personalise the content to each end user’s language. To solve this, you might want to create a single email template containing the same text repeated in multiple languages. In this scenario, you can also use placeholders. You need to add a language code to each placeholder to specify the language required. Placeholders with a specified language, for example, {Placeholder|FR} will display in the language code specified, rather than the language of the user or the default language of the template.
